WHY DO I NEED ON THE DAY CO-ORDINATION?

A Wedding Day, and the lead up to it, can be a stressful time for a couple, with the worry of ensuring every detail is executed and that the day goes exactly to plan. Every couple, and their Wedding Party, deserve to enjoy their Wedding Day to the full, without the worry of details such as the placement of décor or gathering guests for family photos - this is where an On The Day Co-ordinator comes in.

At Luno & Stella, we offer an On The Day Co-Ordination package for your Wedding Day. So, what benefit does this offer? 

1. It’s all in the prep

As your Wedding Day Co-Ordinators, we will become involved with your plans from around 6 weeks before your Wedding Day. 

We will get to know all the details of your day in order to bring your vision to life. Around 4 weeks before your Wedding Day, we will arrange for a remote consultation with you to discuss every aspect of your dream day. We will also arrange a visit to your venue to walk through these plans, and to get to know the venue and staff well. Building a rapport with the staff who we will be working with is really important, to ensure we can work well together to make your day a success. 

We will also liaise with all of your suppliers, getting to know everyone you have instructed to be a part of your special day. After producing a detailed Wedding Day timeline, we will distribute this to those suppliers, to ensure that everyone is on the same page and working to this plan.   

2. Helping the day run smoothly 

Our On the Day Co-ordination package includes attendance at your Wedding for up to 12 hours, taking on every task necessary to ensure that your day is just as amazing as you had imagined.  This can include: 

  • Monitoring that all suppliers and items have arrived as planned
  • Assisting with placement of furniture, décor and stationery
  • Being the point of contact for all suppliers and guests on the day
  • Assisting Ushers to show guests to their ceremony seats
  • Having our Emergency Wedding Kit on hand for use where needed
  • Co-ordinating any music choices throughout your day, such as entry and exit from the ceremony, and entry to the Wedding breakfast as the happy couple!
  • Handling any eventualities which may occur, discreetly
  • Timekeeping
  • Assisting with moving guests around the venue
  • Working with your photographer to co-ordinate group photographs
  • Encouraging signing of the guest book
  • Co-ordinating speeches
  • Keeping the brides dress fluffed!

However, we understand that every Wedding is different, and our list of tasks is unique to each and every one. 

If my venue has a Co-ordinator, why should I hire an On The Day Co-Ordinator? 

Many couples believe that as they have a Venue Co-Ordinator, they do not need to hire an independent On The Day Co-Ordinator. However, there are a number of reasons why you should.

  • Throughout your discussions with your venue during the planning of your Wedding, you are likely to have been allocated an individual who you have liaised with during the process. However, they are unlikely to be able to attend to and oversee your whole Wedding Day. Other Co-Ordinators from the venue team will then be called upon to manage different parts of the day. You may have never met these people, who you do not have a relationship with, and they don’t know the details of your day. As your Wedding Co-Ordinators, we will build a trusted relationship with you so that you can have confidence in us running your day. We will be there every step of the day, with attendance for up to 12 hours, right from your getting ready, until you are dancing the night away.
  • Wedding co-ordination is all about thorough preparation. There are a lot of different suppliers within the Wedding world, many of which your Venue Co-ordinator may not have come across. At Luno & Stella, we will get to know your suppliers in the weeks running up to your Wedding, so it is not our first point of contact with them on your Wedding Day. Building this rapport and updating them on your plans is vital to ensure your day runs smoothly.
  • Venue Co-ordinators know their venue and staff really well, but they do not know your vision. Although you may have had a few meetings with your Venue Co-ordinator about how the day will run, it is impossible for them to know every fine detail of every Wedding they host.
  • There are a number of tasks which Venue Co-ordinators often do not assist with or will charge you a high hourly rate to do so, such as placement of décor and stationery. They are also often reluctant to adopt the Master of Ceremonies role, such as assisting Ushers with seating guests and co-ordinating music and speeches.
  • Venue Co-ordinators have a lot of responsibility, with often a large team of staff to manage, a kitchen to run, along with other Weddings potentially occurring at the same time or imminent to your special day. It is therefore not impossible that they may miss a supplier or item which has not turned up as planned. As your Wedding Co-Ordinators, we will spend the morning of your Wedding ensuring that every detail of your day is put into place.

Our Package  

Hiring an On The Day Wedding Co-Ordinator really is a priceless decision in doing your best to ensure that you can achieve the day you have always dreamed of. 

At Luno & Stella Weddings and Events, we offer all of the above at a fixed fee of just £600*. A non-refundable 20% deposit of £120 is required to secure your Wedding date in our diary, with the remaining £480 not being due until 6 weeks before your Wedding Day.
